International Visitors Programme
Who can apply?
Cultural organisations based in the Netherlands. Educational organisations are eligible if the visit benefits a specific activity that is demonstrably outside of the regular curriculum and is accessible to the public. Foreign organisations and embassies cannot apply.
What can be applied for?
A financial contribution of up to €2,500 ex VAT per application/applicant for the realization of a (digital) international visitor programme* for a multi-day visit of one or more professional(s) based outside the Netherlands such as: designers, curators, directors, theorists, researchers, policy staff, and journalists. The guest(s) has/have not previously/often been a guest in the Netherlands and does not (yet) possess an extensive network in the Netherlands. Applications for guests whose field of work is demonstrable in the Netherlands will not be honored.

An International visitor programme means at least one or more meetings aimed at knowledge exchange between one or more professionals based outside the Netherlands and the Dutch-based design field, relevant government organizations or other related cultural institutions within the disciplines of architecture, design and digital culture. The visitor programme should stimulate international exchange and acquaintance with the Dutch-based design field in a broad sense.

A digital visitor programme may consist of, for example, a lecture, interview, workshop, master class, group discussion, network meeting, or 1-on-1 conversations in the form of an online broadcast or online publication.
Criteria
- The applicant must prove that the visit is of added value to the guest, the receiving party, and their audience, by organising their visitors' programme alongside relevant meetings.
- The visit must meet at least one of the following criteria:
- The application must clarify the motivation for the proposed guest on the basis of a short biography, a link to the programme, and the objectives of the organisation.
- The event for which the visitor is invited (as a speaker or guest) must be described in the application in terms of its nature, scope, and target groups.
- The visit should take place between March 1 and 31 December 2024.
Post the completion of the visit, a substantive report must be submitted outlining the details of the completed program within one month. Please ensure that the time and effort needed for this is accounted for in advance.
Financial conditions
- A maximum of €2,500 ex VAT can be awarded per applicant per calendar year. This amount can be spent on multiple guests.
- A realistic budget must be sent along with the application.
- Payment will be made on the basis of invoicing the actual costs incurred and supporting documents and will amount to a maximum of €2,500, excluding VAT, in total and will never exceed the amount requested in the application.
- Settlement and content reporting must be completed and submitted within one month after the end of the visit, using a format that will be provided in prior.
Expenses reimbursed physical program:
- Travel costs (plane-train tickets, cab) from, to and within the Netherlands on the basis of economy class/second class, accommodation costs (hotel) to a maximum of €175 per night
- Additional programme costs (entrance fees other visits NL, (network) dinner) to a maximum of €1000.
Costs not reimbursed physical program:
- Honorarium (e.g. for giving a lecture/participation meeting), visa costs, per diem, publicity and other costs to finance the own event.
Expenses reimbursed digital program:
- Honorarium international visitor(s) for up to €1000 in total per guest. (Honorarium for non-guests, such as the moderator, are not counted here and are counted as material costs).
- Material costs / hiring third parties for the purpose of the digital visitor programme such as: translations, editorial and writing work for online articles, image documentation, photography, image and audio post-processing, video recordings, subtitles, streaming, web hosting, rental location, rental of streaming, recording and or audio equipment, costs of hiring external technicians, costs of graphic design, communication expressions or campaigns, moderator.
Costs not reimbursed digital program:
- Intangible costs to finance own event, organization or personnel expenses.
- Production costs of, or fee for, a new work to be created by the visitor(s).
Procedure
- The filled application form must be submitted no later than 15 February 2024, 14 hrs. Applications submitted later cannot be processed. You are advised to submit the application as early as possible so that any feedback or adjustments are still possible. If your application does not meet the conditions you will be notified as soon as possible.
- The completed application must be sent via email to Najiba Yasmin, Program Manager International Visitors Programme at n.yasmin@nieuweinstituut.nl, with ‘IBP OC Application Submission’ as subject of the e-mail.
- You will receive a confirmation by email after submitting your application.
- A committee of experts in the field of architecture, design, and digital culture will make a selection from the applications. The aim is to distribute the awards as evenly as possible across various disciplines and countries.
- Applications will be reviewed against the conditions set forth herein, the expected quality of the proposed visit, the professional quality of the proposed visitor(s), and the feasibility of the visit in all aspects.
- Applicants will be notified as early as possible at the end of February/first week of March 2024.
- Upon awarding of funds, an agreement is drawn up between the Nieuwe Instituut and the applicant in which the mutual obligations are laid down.
- Payment is made afterwards, on the basis of invoicing actual costs up to a maximum of €2,500 (excluding tax) with supporting documents.
- Settlement and substantive reporting must be completed and submitted within one month of the end of the visit.
- The committee honours applications specifically on the combination of the applicant, guest/s to be received, and the proposed programme. If anything should change you should contact Nieuwe Instituut immediately.
- An organisation can receive a maximum of €2,500 per year as a contribution to the costs of an international visitors' programme.
- The financial contribution of the Open Call is not a subsidy. In the event of a rejection, you cannot submit a notice of objection.
