Reproductions

You can reproduce materials from the collection by copying, scanning or photographing them. Do this yourself in the Research Centre, or make use of the Nieuwe Instituut's Reproduction Service.

Reproduction Service

You can order reproductions of archival materials via the Reproductions Order Form (in Dutch). A member of the archive staff will then look for the image for you. We will let you know in advance if this will incur any research costs.

If you have any problems with the order form, you can also request reproductions by emailing beeldbus@nieuweinstituut.nl

The digital file(s) will be sent to you via WeTransfer. If known, please provide the archive code and inventory number of the item to be digitised with your order.

Images will be delivered digitally in TIFF file format. We charge €19.50 per image. We charge a handling fee of €7.50 per order. Reproductions are delivered after payment is received. As soon as we have processed your order, you will receive an invoice. After payment, delivery is 20 working days (normal) or 10 working days (express).

Making your own reproductions in the Research Centre

You can make your own black-and-white A4 and A3 copies of books, magazines and photos (photo documentation) in the Research Centre. There is also an A4 scanner which you can use to scan and save texts and images digitally to an external medium. However, reproducing actual archive documents, including drawings, photos and sketches, must be done by the Reproduction Service.

You are allowed to take photos of collection items yourself, provided you use no flash. Photographs are intended for study, not publication.

Downloading reproductions via the Search Portal

From 1 July 2024, reproductions of archive documents can no longer be ordered via the Search Portal, but only via the Reproduction Service. All images can still be downloaded free of charge in small, low-res versions.

Copyright and use of collection material

In most cases, the Nieuwe Instituut is the copyright holder of the items in the collection. When we acquire an archive, we also acquire the right to publish and reproduce the materials. You are free to use items from the collection for essays, websites, books or magazines. No extra costs are charged for publication. However, to do justice to the illustrated work, you are requested to mention the provenance of the work as well as its maker and title in a caption or acknowledgement (Collection Nieuwe Instituut/ archive code, inventory number).

In some cases, the Nieuwe Instituut does not hold the copyright. If the material is to be published, permission must be obtained from the actual copyright owner. Other conditions may also apply. Nieuwe Instituut customers are themselves responsible for making arrangements with regard to publication rights for items from the collection. We are happy to advise you on any rights/copyright matters.

When archives are transferred to het Nieuwe Instituut, we do not obtain the rights to works by third parties, such as photographers. Permission to publish photos must be obtained from the photographer, or from the collective copyright protection agency holding the photographer's rights, such as the Nederlands Fotomuseum, the Maria Austria Instituut or the National Archives.

If you have a question about copyright or copyright owners regarding the collection, please contact the Research Centre team: 010 4401 270
